RFP Response Templates: Unlock the Secret

An RFP response template saves time. It offers a standard and flexible framework that both accelerates and improves the proposal development process.

By responding to RFPs using templates, proposal teams can deliver a higher volume of high-quality proposals faster without the stress.

This blog explores the key elements of an effective RFP response template and practical tips for setting them up.

What is an RFP Response Template?

A request for proposal (RFP) response template is typically a pre-build document that outlines the standard structure of your proposal. It includes predefined sections and can also include predefined content such as text, tables, and images.

This tool serves as a framework to help teams jump-start proposal development. It is important to note that some RFP documents include response outline requirements. So, make sure your templates are adaptable to changing needs.

To make your proposal stand out, it’s essential to understand the client. This includes identifying their specific needs, goals, and pain points to craft a more targeted response.

Benefits

As a proposal manager, you know the drill. Tight deadlines, countless RFPs, and the pressure to deliver high-quality bids, perfectly within the scope of work. It’s enough to make even the most seasoned proposal manager feel overwhelmed. Your team is ready to write and you are the bottleneck, holding back your company from winning the proposed contract.

This is where an RFP response template can revolutionize the way you approach your next proposal. Imagine having any number of pre-built frameworks to start with.

  • Faster Turnaround Time: Reduces the time it takes to kick-off development and create a new response from scratch.
  • Professional Impact: Make sure your bids have consistent formatting. This helps reduce mistakes that can happen when you rush.
  • Consistent Brand: Make sure your proposals are consistent with your brand. This helps reduce mixed or inaccurate messaging.
  • Skip the Reformatting: Another powerful aspect of templates is enforcing consistent layout and formatting during development, even when contributors copy and paste. With the structured layout, the table of contents becomes easy to maintain as the document evolves.
  • Pre-Filled Content: Include standard content that can be personalized, instead of starting from scratch.
  • Tailored Response: Saves time for more unique requirements and personalizing and tailoring the proposal.
  • Scalability: Response framework tools also respond to scaling needs quickly. By standardizing a portion of your proposal, you make time for more bids.

Compliance Challenges

Before diving into the time-saving and creative aspects of the RFP response template, it’s important to prioritize compliance. Failing to meet the specific response structure requirements outlined in the RFP can lead to immediate disqualification.

Not every industry that issues an RFP includes response structure requirements. Just be aware that they are out there, and always scrutinize your RFPs for them. And establish your response templates with this adaptability in mind.

Here are some key compliance requirements to consider:

  • Locate Preparation Requirements: For a lot of RFPs, there is no standardized format. So review each RFP thoroughly. For federal RFPs, look to Section L for preparation requirements.
  • Follow the Outline: Most RFPs will, however, dictate the response outline. In the absence of guidelines, structure logically and as close to the RFP as possible.
  • Follow Layout and Formatting Guidelines: Adhere to the rules. These might include everything from font type and point size to margin and page limitations.

How to Build a Response Framework

By establishing a well-structured and adaptable RFP response template, you can significantly improve your team’s efficiency. This template, or series of templates, will serve as a foundation for future responses, ensuring consistency, efficiency, and quality.

Plan Your Response Template

Whether you’re responding to an RFP, RFQ, RFI or tender, consider the type of requests you receive and how you respond.

  • Analyze Past Responses: Review your past proposals, both successful and unsuccessful. Identify the commonalities in structure and performance.
  • Analyze Your Competition: Take time to review your competitor's proposals. Look at how they present information and how you can elevate your approach.
  • Headings and Subheadings: Consider your headings and subheadings wisely. Thematic headings and subheadings provide a clear visual structure.
  • Keep It Flexible: Design your template to adapt. RFP requirements are always changing, and you don't want your template to slow you down.

Build Your Response

If no outline requirements are included in the RFP, organize your response logically. Consider mirroring the RFP and prioritizing mandatory sections. This will help evaluators locate what they need and follow your argument. A typically response outline might include:

  • RFP Cover letter: Demonstrate your fit and show your enthusiasm.
  • Executive Summary: Start with the problem, outline the solution, clearly demonstrate your value.
  • Company Overview: Show you understand the client and their pain points, with a specific approach for their industry.
  • Proposed Solution: Show how you solve the problem and the outcomes and benefits.
  • Implementation Plan: Milestones, objectives and proven methodologies demonstrate you've delivered successfully for similar clients.
  • Pricing Details: Show professionalism, build trust, and no surprises. Many RFPs require this in a separate, sealed volume.
  • Client Qualifications: Demonstrate expertise, build credibility, and set yourself apart.
  • Terms and Conditions: Take ownership and use clarity.
  • Resumes: Show understanding and demonstrate capabilities,
  • Forms: Create a layout to accept scanned RFP forms and signed amendments that complements your overall proposal.
  • Appendix: Consider a slightly different layout or color scheme to help evaluators know they are in the appendix.

Identify Content

When you use a template, you assume the content is up-to-date. That's why it is important to identify the dynamic and static components of your proposals. In other words, what portion of each proposal is standard vs unique.

  • Static vs Dynamic Content: Prioritize static content that doesn't change regularly. For example the company overview. As opposed to content that is constantly changing, such as the proposed team.
  • Consider Pre-Built Content: Add pre-built, static boilerplate content. For example, company solution overviews and project methodology.
  • Consider Content Frameworks: Add models/structures that guide unique content development. This establishes a framework for what decision makers will understand and enjoy.
  • Visual Elements: Use high-quality images to enhance understanding and consistency and minimize disrupting the reading flow.
  • Regular Reviews: Assign experts and schedule regular reviews to ensure your content is always accurate and up-to-date. Develop a style guide you can build on.
  • Leverage Technology: Digital tools help you manage and use your RFP template without all of the manual effort.

Build your Layout

Your proposal layout delivers your first impression. A well-organized and attractive layout reflects your attention to detail and passion about the project. It also makes it easier for prospective clients to follow, understand the benefits of your solution, and make decisions. In fact, by keeping evaluators engaged and reading, your layout can enhance your chances of winning.

Consider these best practices when creating your response template layout:

  • Consistent Formatting: Choose a professional and easy-to-read font. Maintain consistent margins and line spacing as well as numbering, bullets, and tables.
  • White Space: Create a sense of balance that doesn't crowd your text. Left aligned or justified text is easier to read. This also helps evaluators take a breath as they digest your solution.
  • Color Scheme: Select a professional color palette that reflects your brand and industry. Use a consistent color to draw attention to important information.
  • Proportion: Keep proportions in mind, for example blocks of text vs images. Use proportion to help readers relax, and size to guide them to what’s important.
  • Similarity: A similar visible trait can help you connect similar ideas. Readers naturally perceive them as part of the same group.
  • Contrast: At the same time, adding contrast, such as light and dark colors or large and dark shapes, create visual interest.
  • Unity: Similar colors help you organically integrate dissimilar elements. Use this to make it feel like things belong together and connect your story and argument.
  • Hard Copy vs Digital: Test your proposal templates. Ensure they deliver the impact you desire when printed for hardcopy and digitized for CD or portals.
  • Review and Refresh: After each proposal, conduct a review of your proposal response. Focus on performance and how you can improve.

Manual vs Technology

When it comes to templates, you have a choice; manual or technology-driven. By carefully considering the pros and cons of each, you can make a more informed decision about how to increase your chances of success.

Manual Templates

While manual RFP response templates offer flexibility, they can be a significant burden on your team. They are time-consuming to create and maintain, don’t enforce formatting and introduce a high risk of human error. They are also impossible to scale with any consistency or confidence.

Pros

Cons

  • Flexible
  • Time-consuming to maintain
  • Error-prone in use
  • Broken formatting
  • Crashed documents
  • Difficult to scale

Technology-Driven

On the other hand, technology-driven proposal templates offer numerous benefits that can significantly improve your proposal process. They save time by automating content and enforcing layout and formatting. They are also much easier to scale for growing volume with your same staff.

Pros

Cons

  • Flexible
  • Minimizes errors
  • Automatic formatting
  • Scalable
  • Initial investment
  • Learning curve
