In this case study, Morten Kvernvold, Scanwell CEO, discusses how adopting XaitPorter has helped the company streamline their internal workflows and maintain a high level of quality, brand and internal control.

Since ScanWell was founded in 2008, they have continually improved their use of technology and tools. In the beginning, they used local storage units and file servers. After their locations and offices became geographically dispersed, they began using remote file sharing systems.
With ScanWell's industry, it's imperative that the company has the appropriate follow-up and documentation procedures, and that they abide by the same quality requirements as their suppliers.
ScanWell has always advocated working with organized data / databases instead of paper reports and traditional “paper mills”. Throughout the whole organization, both internally and externally, the company has managed to leverage digital database tools to ensure efficiency and control.
“You can really keep a good level of control, as long as you have the right tools!” says Kvernvold. “We found that XaitPorter could solve our challenges of coordinating throughout our organization and help us streamline the way we do reporting across multiple locations, based on a set format with specific requirements.”
Since ScanWell has offices all over the world and is a global service company, Kvernvold and his organization saw the need for a tool that could help them collaborate efficiently on documents from different locations.
After learning about XaitPorter from one of their partners, ScanWell began collaborating and writing in XaitPorter with them. The CEO and his team quickly realized that XaitPorter is much more than just a tool for writing tenders:
“After adopting XaitPorter, we quickly realized that we wanted to take advantage of its coauthoring capabilities rather than using it only for tendering processes.”
According to Kvernvold, the onboarding process was a good experience, and he feels like they received good follow-up from Xait.
“Our organization is also tech savvy, so using a tool like XaitPorter became a natural part of our team members' everyday routines.”
At present, ScanWell mainly uses XaitPorter as a collaborative platform to streamline reporting across their geographically dispersed locations and departments:
“We use it primarily as a internal reporting tool. So that we can have everybody on the same platform across all our offices worldwide. In addition, we can collaborate on documents we need to provide to clients, as well as internally for reporting."
They have also started using XaitPorter for marketing materials, data sheets, brochures, and HSEQ reporting.
It’s difficult for many geographically dispersed companies to streamline their internal workflows and maintain high levels of documentation and reporting throughout the organization. This is particularly true when the company relies on legacy systems that aren’t specifically built for heavy-duty enterprise needs.
Through its Workflow and Assignment functionalities, XaitPorter has allowed ScanWell to work with an identical, streamlined workflow throughout the entire company.
As a result, the company can maintain control over their quality, brand, and documentation requirements, even though their contributors are working out of Abu Dhabi or Brazil, and no matter if it's for a tender or a report.
“One of the big advantages that we have seen with XaitPorter is that we can focus on getting the content right. We don't need employees who are clever with graphical design. And we can have employees in various locations working on the same document. We can always modify the graphical design later on and keep the documents up-to-date at all times.”
ScanWell is all about helping clients in the oil and gas industry improve performance and reduce costs through innovative technology. In a sense, this is what XaitPorter does for ScanWell – to reduce costs by improving performance.
In Kvernvold's estimation, ScanWell has probably only taken advantage of 10–15% of XaitPorter’s full potential and functionalities so far.
In terms of how the company plans to use XaitPorter in the future, the organization sees a lot of potential in areas such as Technical Documentation, Commercial Ethics, and Sales and Marketing materials. Additionally, the company plans to use XaitPorter in a larger part of their tendering and reporting processes.
